Use case · Lead qualification

Qualified before a human picks up.
Including the ones you should decline.

Your criteria, asked in your order, on every call. Then a warm transfer with the record already populated, or a polite decline with the reason coded.

What is lead qualification?

AI lead qualification answers every inbound inquiry and asks your qualification criteria in your order. A qualified lead is warm transferred to the right person, with the record already populated. An unqualified one is declined politely on the call and the disqualifying reason is logged. The value runs in both directions. Qualified leads reach a human faster and repeat themselves less, and unqualified ones stop consuming expensive time.

Qualification leaks both ways

The wrong calls get through and the right ones wait.

Qualification is where most intake operations lose money twice. Unqualified inquiries reach expensive people: attorneys, licensed representatives, senior closers. They consume the hour a qualified one needed. Meanwhile the qualified caller sits in the same queue, answering the same questions for the third time that evening.

Consistency is the underlying issue. Qualification criteria are usually well defined and inconsistently applied, because applying them depends on who took the call and how their day has gone. The eleventh caller of the afternoon gets a shorter version of the screen than the first, and nobody can tell you which questions were skipped.

The screen also has to be able to say no. A qualification system that only qualifies is a lead-capture system with extra steps. Declining politely, on the call, with the reason recorded, protects the expensive calendar and gives the caller a straight answer instead of a callback that was never coming.

Proof

Four published calls. Read every word.

Four qualification calls. Two ended in a warm transfer with the file already built. One was screened out on the call. One was qualified at 10:12 PM against a client’s criteria.

What is included

A screen that behaves the same on call four hundred.

Your criteria, in your order

The screen is built from your intake rules rather than a generic form, and it branches on the answers the way an experienced intake specialist would.

Asked consistently, every time

The same questions, in the same order, on call one and call four hundred. Consistency is what makes the resulting data comparable across a month.

Warm transfer with the record populated

A qualified caller reaches the right person with the file already built, so the human opens the call informed rather than starting the screen again.

Declines that are polite and final

Out-of-criteria callers get a straight answer on the call, and a referral where your policy allows one, instead of joining a callback list nobody works.

Disqualifying reasons coded

Every decline records why, which turns a month of rejections into a reportable pattern about your sources rather than a pile of dead leads.

Routed by license, territory or specialty

State licensing, service territory, practice area. Where these matter, the routing is checked before the transfer rather than discovered after it.

By industry

Lead qualification, in your industry.

The behavior is the same. The criteria, the guardrails and the systems it writes to are not.

Common questions

Lead qualification, answered plainly.

Will it turn away business we would have taken?

Only against criteria you signed off, and every decline is logged so you can see them.

The disqualification log is the control. If the agent is declining a category you would have accepted, it shows up in the first week’s report as a pattern rather than as an anecdote, and the criteria get adjusted. A screen you cannot audit is the one to worry about.

How is this different from a web form?

A form captures whoever finishes it. A conversation captures whoever called.

Forms are abandoned by the people least willing to do administration, who are frequently the people with the most urgent problem. A call qualifies them in ninety seconds while they are still engaged, and can ask the follow-up question a form cannot.

Can it qualify in another language?

Yes, on the same number, with no transfer and no callback queue.

There is a published call in the library where the caller switches to Spanish four seconds in. The entire intake completes in Spanish: accident facts, treatment, police report, appointment booking and the confirmation text.

Does the transfer actually reach a person?

It is a warm transfer, and if nobody picks up the call does not simply end.

The fallback path is configured with you: a secondary target, a booked appointment, or a callback commitment with the record already complete. What does not happen is a qualified caller being dropped into voicemail after passing your screen.

What does it do with the data?

Writes it to your CRM as structured fields, during the call.

Not a transcript for somebody to read and re-key. The qualification answers land as fields, which is what makes them reportable and what lets the receiving human open the call already informed.

Can it handle a campaign spike?

Yes. Every concurrent caller is screened at once.

This matters most in mass tort and direct response, where a campaign produces a burst of inquiries of which a significant share will not qualify. Screening them concurrently protects the calendar of whoever would otherwise have taken those calls one at a time.

Put your criteria on every call.

We build the screen from your intake rules and measure it against your baseline.
